JINJIWORKS Pte. Ltd. (“we”, “us” or “our”) handles personal data in accordance with Singapore's Personal Data Protection Act 2012 (“PDPA”) and other applicable laws. This policy explains how we collect, use, disclose and manage personal data through our website (jinjiworks.com) and in providing our services.

1. Personal data we collect

We may collect the following personal data:

• Information you provide through our contact form or otherwise, such as your name, company, email address and message
• Details of client representatives, such as name, organisation, job title and contact details
• Candidate information handled when providing our hiring services, such as name, contact details, employment history, education, skills and preferences

2. How we use personal data

We use personal data to:

• Respond to enquiries and communicate with you
• Propose our services, and enter into, perform and manage contracts
• Carry out hiring support, such as identifying and contacting candidates and coordinating selection processes
• Improve our services
• Comply with legal obligations and protect our rights

3. Consent and withdrawal

Except where the PDPA permits otherwise, we collect, use and disclose personal data only with your consent. You may withdraw your consent at any time by contacting us using the details below. When we receive a withdrawal request, we will explain its likely consequences and act on it within a reasonable time. Withdrawing consent may mean we can no longer provide our services to you, and we may retain personal data after withdrawal where the law permits.

4. Disclosure to third parties

We do not disclose personal data to third parties without consent, except:

• To client companies, to the extent needed to provide our hiring services, with the candidate's consent
• To service providers we engage, such as IT, cloud and contact form providers, to the extent necessary, and subject to appropriate protection
• Where disclosure is required by law, or otherwise permitted under the PDPA or other laws

5. When we act for client companies

In some services, such as recruitment process outsourcing (RPO), we process candidates' personal data on behalf of client companies. In those cases we act as a data intermediary under the PDPA, following our contracts and our clients' instructions, and we comply with the obligations on protection, retention and data breach notification.

6. Transfers outside Singapore

Because we support companies and candidates outside Singapore, and use services provided by overseas providers, we may transfer personal data outside Singapore, including to Japan. When we do, we take contractual and other appropriate measures so that the data is protected to a standard comparable to the PDPA.

7. Protection

We take reasonable security measures, such as access controls, technical safeguards and training for those who handle personal data, to protect it against unauthorised access, collection, use, disclosure, copying, modification, disposal, loss and similar risks.

8. Data breaches

If a data breach occurs, we will promptly assess it and take steps to contain it. Where the PDPA requires, we will notify the Personal Data Protection Commission (PDPC) and the affected individuals.

9. Retention

We keep personal data only for as long as it is needed for the purposes it was collected for, or for legal or business purposes. When it is no longer needed, we delete or anonymise it promptly.

10. Accuracy

We make reasonable efforts to keep personal data accurate and up to date. If any information you have given us changes, please let us know.

11. Access and correction

You may request access to the personal data we hold about you and information about how it has been used or disclosed in the past year, and you may ask us to correct any errors. Please send requests to the contact below. After verifying your identity, we will respond within 30 days where possible; if we cannot, we will tell you when we expect to respond. We may charge a reasonable fee for access requests where the law permits.

12. Third-party services on our website

Our website uses Google Fonts to display fonts and Google Maps to display a map. Through these services, information such as your IP address may be sent to Google LLC in the United States. Our contact form is submitted through Formspree (Formspree, Inc., United States), so what you enter passes through its servers on the way to us. We do not currently use cookies for analytics or advertising on our website.

13. Individuals in Japan

For personal information of individuals in Japan, we publish the following in accordance with Japan's Act on the Protection of Personal Information:
